Privacy Policy

Solo Engineer Pro is job sheet software for engineers and small trade businesses, operated by an independent sole trader. For the purposes of UK and EU GDPR, the operator of Solo Engineer Pro is the data controller for the account and billing information described below, and can be contacted at monsterbond@hotmail.com.

When your company uses Solo Engineer Pro to store its own clients' details, your company is the data controller for that client data and Solo Engineer Pro acts only as the processor storing it on your behalf.

• Company account details — company name, password (stored only as an irreversible hash), company email, phone number, and the details you enter on the Account details page (address, website, company number, VAT number, currency and VAT rate).
• Client and job data — the client details and job sheets (including addresses, equipment, fault notes, start/finish times, job costs and photos) that you enter for your own business records.
• Signatures and photos — customer signatures and job photos you attach, stored with the job sheet.
• Billing — PayPal payment records (transaction ID, amount, payer email) used to keep your subscription active.
• Password resets — a one-time, one-hour reset link sent to your company email when you ask for one.
• Local device storage — your company details for PDFs, in-progress form drafts and your chosen PDF save folder are kept in your own browser on your device, not on our servers.

• Contract — to provide the service you signed up for: accounts, client databases, job sheets, PDFs and email handoff.
• Legitimate interests — to keep the service secure (password hashing, session cookies) and to prevent abuse.
• Contract / legal obligation — to record subscription payments via PayPal.

Client data you store is processed only on your instruction, as described above.

We never sell your data. It is shared only with the providers needed to run the service:

• Hosting and database — our cloud hosting provider stores the app and its database.
• Email delivery — emails from your own domain (for example password resets) are sent through a transactional email provider.
• PayPal — subscription payments are processed by PayPal; we receive only the payment confirmation details listed above.

PDF job sheets are created on your device and sent by you from your own email app — they are not stored on our servers and we never email them for you.

Data is stored on servers within the European Economic Area. We keep your company account, clients and job sheets for as long as your subscription is active.

If your access expires, your data is retained so you can renew without losing anything. If you delete your account (Settings → Delete account), your company login, all clients and all job sheets are permanently removed from our database immediately and cannot be recovered. Payment records are kept only as long as needed for accounting and tax purposes.

Solo Engineer Pro uses no advertising or tracking cookies. The only cookie is a strictly necessary, encrypted session cookie that keeps you logged in. Local storage on your device holds your PDF settings and drafts; you can clear it at any time in your browser settings.

Under GDPR you have the right to:

• ask for a copy of the personal data we hold about you;
• have incorrect data corrected;
• have your data erased (deleting your account does this for all stored data);
• object to or restrict processing, and withdraw consent where relied on;
• receive your data in a portable format;
• complain to the UK Information Commissioner's Office (ico.org.uk) or your local supervisory authority.

To exercise any right, email monsterbond@hotmail.com. Because each company's client list is private to that company, requests about client data you have stored should be handled by your company as the controller — we will assist where needed.

Passwords are stored only as salted hashes and can never be read. Sessions use an encrypted cookie. Each company can only access its own clients and job sheets — the database is locked so no company can read another's data. PDFs are generated in your browser and never uploaded for storage.
